Terms of service

Effective date: 2026-11-05

1. Who we are and what these terms cover

ShowMeTheDocs is provided by THIME Holding OÜ (VAT ID EE102715730), Kotkapoja tn 2a-10, 10615 Tallinn, Estonia ("we", "us"). These terms are the agreement between us and the business that creates an account ("you"). By creating an account, starting a trial or using the service you accept them on behalf of that business, and you confirm you are allowed to do so.

ShowMeTheDocs is for businesses. You may not use it as a consumer. The privacy policy and the data processing agreement ("DPA") are part of this agreement.

2. The service, and what it is not

ShowMeTheDocs helps you record and track the insurance certificates, licenses and certifications your vendors and subcontractors provide, and shows which vendors are compliant, expiring, expired or missing a document. It sends reminder emails to vendors and digest emails to your administrators.

ShowMeTheDocs is a record-keeping aid. It does not verify that a policy is valid or in force, does not contact insurers, does not check whether a document or lien waiver is legally sufficient, and is not insurance, legal, tax or risk advice.

Parts of the service use automatic tools, including artificial intelligence models, for example to read an uploaded certificate, to suggest dates, amounts, endorsement wording or a certificate holder, and to answer questions in the in-app assistant. These tools can make mistakes: they can misread, miss or invent information, and their answers can be incomplete or wrong. Everything they produce is only a suggestion. You are responsible for checking each value and answer against the original document before you confirm, rely on or act on it, and for deciding whether a vendor, certificate or waiver meets your requirements and the law. We record the documents you and your vendors provide; you are responsible for the content of the forms you collect.

The AI features are optional. They never approve a document or change a compliance status without a person confirming it, and an admin can switch them off for the whole organization at any time in Settings.

3. Accounts and teams

You are responsible for keeping sign-in details secure, for the people you invite and for the roles you give them, and for everything done under your account. Remove teammates who leave. Tell us promptly if you think an account has been compromised. Each account belongs to one organization.

4. Acceptable use

You agree that you will not, and will not allow others to:

  • store vendor contact details or documents unless you have the right to do so;
  • upload content that is unlawful, infringing or malicious, or files other than the types the service accepts (PDF, PNG and JPEG);
  • upload sensitive personal data that the service does not need, such as government identity numbers, health records or payment card numbers;
  • send unsolicited or deceptive messages through the service, or remove the opt-out link from vendor emails;
  • try to access another organization's records, probe or disrupt the service, bypass its limits or security, or run automated scans against it;
  • use the AI features to make decisions that have legal effects on individuals, or in a way that breaks the usage policy of our AI model provider (available on request), and do not rely on their output without checking it;
  • copy, resell or sublicense the service, or use it to build a competing product.

The public API and webhooks are subject to the same rules and to the limits described in the API documentation.

Each vendor portal link gives access to that vendor's requirement statuses and upload form only. Anyone holding the link can use it. Share links only within the vendor's company and replace a link if it may have been shared by mistake.

6. Plans, trial, billing and taxes

New accounts receive a 14-day free trial with up to 150 vendors and no card required. After the trial the account stays open on the Free plan (up to 10 vendors, without API access) unless you choose a paid plan, which you can do at any time for more vendors and the API. Plans are billed in advance, monthly or annually, at the prices shown on the pricing page in US dollars, and renew automatically until cancelled. Vendor limits apply to each plan. Payments are processed by Stripe.

We may change prices or plans. We will email you at least 30 days before a change takes effect for your account, and it applies from your next renewal. If you do not agree, cancel before then.

Prices exclude taxes. You are responsible for any VAT, sales tax or similar taxes that apply to your purchase, except taxes on our income. Where the law requires us to charge tax, we add it to the invoice. If you are a business in the EU with a valid VAT ID, tell us the ID at checkout so that reverse charge can apply where the law allows it.

If a payment fails we may retry it, email you, and then make the account read-only until payment is made.

7. Cancellation and refunds

You can cancel at any time in the billing page. Cancelling stops future charges and takes effect at the end of the period you have already paid for. A cancelled account becomes read-only: you can still sign in and export your data.

  • Monthly plans: no refund for a period that has started.
  • Annual plans: if you cancel within 14 days of your first annual payment, we refund it in full. After that, no refund for the current year, except where the law requires one or where we end the service for reasons other than your breach.

8. Your data

You own the data you put into ShowMeTheDocs, including vendor details and uploaded documents. You give us a limited right to host, copy, process and display it only as needed to run the service for you and to meet our legal duties. We do not sell your data and do not use it to train AI models.

For personal data in your account that belongs to your vendors and colleagues, you are the controller and we are the processor, as set out in the DPA. You can export your data as CSV and zip files at any time, including on a read-only account. When you delete your account, we delete your data from our live systems within 30 days and it leaves our backups within 35 days. We keep billing records for as long as accounting law requires.

9. Our rights

We own the service, its software, design and documentation. You get a non-exclusive, non-transferable right to use it for your business for as long as these terms apply. If you send us feedback, we may use it without obligation to you.

10. Availability, support and changes

We work to keep the service available and your data safe, and we take backups, but we do not promise uninterrupted service or a specific uptime. We may carry out maintenance, and we may change or retire features. If we make a change that materially reduces what a paid plan gives you, you can cancel and ask for a pro rata refund of the unused prepaid period.

Support is self-service first: the help center and the contact form. Requests may be handled by automated tools as well as staff.

11. Suspension and termination

We may suspend or end your access if you materially breach these terms, if you do not pay, if your use puts the service or other customers at risk, or if the law requires it. Where reasonable we will warn you first. If we end your account other than for your breach, we refund the unused prepaid period. You can export your data for at least 30 days after termination unless the law or a court order prevents it. Sections that by their nature should continue to apply, such as 8, 12 to 14 and 17, survive termination.

12. Disclaimers

The service is provided "as is" and "as available". To the extent the law allows, we disclaim all other warranties, including fitness for a particular purpose, that the service is error-free, and that automatic readings or AI-generated output are accurate or complete. We do not guarantee that using ShowMeTheDocs will satisfy any contract, insurer, regulator or audit requirement.

13. Limitation of liability

To the extent the law allows: (a) we are not liable for indirect or consequential loss, or for lost profits, revenue, goodwill or data that could have been avoided by keeping your own copy (you can export at any time); and (b) our total liability for all claims arising from the service in any 12-month period is limited to the fees you paid us for the service in the 12 months before the event that gave rise to the first claim.

Nothing in these terms limits liability that cannot be limited by law, including liability for intent or gross negligence, or for death or personal injury.

14. Your responsibility for your content

You are responsible for the content and personal data you put into the service and for having the rights and notices needed to do so. You will cover our reasonable losses and costs from third-party claims arising from your content or your breach of section 4.

15. Confidentiality and security

We treat your data as confidential and protect it with the measures described in the DPA. We may disclose it only to staff and sub-processors who need it to run the service, or where the law requires, in which case we tell you unless we are not allowed to.

16. Sanctions and export

You confirm that you and your users are not subject to sanctions that would make our service unlawful to provide, and you will not use the service in breach of applicable export or sanctions laws.

17. Changes to these terms

We may update these terms. For material changes we will email your account owner at least 30 days before they apply. If you keep using the service after that date, you accept the change; if you do not agree you can cancel as described above.

18. Governing law and disputes

These terms are governed by the laws of Estonia. The courts of Harju County (Harju Maakohus), Tallinn, Estonia have exclusive jurisdiction, except that we may bring a claim to collect unpaid fees in any court that has jurisdiction over you.

19. General

These terms, the privacy policy and the DPA are the entire agreement between us about the service. If a part is unenforceable, the rest stays in force. You may not transfer your rights under these terms without our consent; we may transfer ours as part of a business sale or reorganization. We may give notices by email to the account owner or in the app. Not enforcing a right is not a waiver of it.

20. Contact

Questions about these terms can be sent through our contact form. Our postal address is Kotkapoja tn 2a-10, 10615 Tallinn, Estonia.
